Set up appointment types
Appointment types tell your receptionist exactly how to book each kind of job you do. Instead of one generic booking, you define each type of appointment — how long it takes, how much buffer to leave, where it happens, and what to ask the customer — and Whitmore books the right one the right way.
Setting them up
When you set up (or update) your receptionist's booking, the setup guide walks you through it: turn on booking, connect your calendar, choose where you work (at the customer's location, at your place, or virtual), set your hours, and then add your appointment types.
For each type you can set:
- Duration — how long the appointment takes, so it is blocked correctly on your calendar.
- Buffer — extra time before or after, for travel or cleanup.
- Location — on-site at the customer, at your location, or a virtual meeting (with a video link attached automatically).
- What to collect — the details Iris asks for to book it, like name, email, and address.
What this changes for callers
When someone books, your receptionist figures out which appointment type they need, books it at the right length, and collects the right details for that type. If it is an on-site job, it asks for the address and will not book somewhere outside your service area. If it cannot get a required detail, it will not force a booking — it asks instead of guessing.
Editing later
You can add, edit, or remove appointment types anytime from your receptionist's booking settings — the same options you see during setup.
